I run a tutoring company with multiple tutors and about 165 students. We used Pencil Spaces from August–December 2025. It was one of the worst software decisions in 15 years of business.

What went wrong:
The platform crashed constantly. Sessions wouldn't load. Audio lagged behind video. Students got stuck in waiting rooms. iPads got kicked mid-lesson. We had to establish a standing protocol to abandon Pencil Spaces and switch to Zoom whenever it failed—which was often. Our tutors complained so much I had to archive the Slack channel.
On top of that, students could see other students' names and folder information—a serious privacy issue. We raised it on day one. It was never fixed. A parent complained.
Before launching, I asked their sales rep if our setup would work. He confirmed in writing: "no problem at all." After the problems started, leadership blamed us for using the wrong setup. The setup they recommended instead wasn't compatible with our scheduling system.

How can they improve:
Be honest about limitations. Pencil Spaces may work for solo tutors—the positive reviews here seem to confirm that. But it is not ready for a multi-tutor business with scheduling integrations and real privacy requirements. Don't sell it as one until it is.

Pencil Spaces has changed the way I tutor, and made my existing practices easier and more fluid.
It’s board functionality means I can save previous work all in one place, making student revision even easier, improving continuity and giving the tutee their own personal learning space.
The interface is intuitive with minimal effort for new students familiarising their self with the platform. They soon learn how to draw, collaborate and interact in the session.
PDFs, screenshots, gifs and videos are all upload-able to the space.
Their template function allows me to create new, fully resourced, spaces in an instant ready for new students.
Pencil Spaces is the way online classrooms should be made.

I do not often write reviews, but in this instance I feel compelled. As an Oxford graduate and a mathematics tutor with many years of experience teaching online, I can say with complete confidence that Pencil Spaces is the most exceptional platform I have encountered. It is not simply a digital tool. It is a carefully constructed teaching environment that reflects a profound understanding of how educators work. I have used nearly every platform in this space, including Bitpaper, Lessonspace, Zoom, Google Meet, Microsoft Teams and ClassIn. While each has served a purpose, none comes close to the thoughtful completeness and reliability of Pencil Spaces.

From the very first use, it is evident that this platform has been designed not around video conferencing, but around teaching itself. The entire experience is stable, elegant and intuitive. I no longer waste time managing technical distractions, resolving access issues or explaining complicated interfaces to students. I simply begin teaching. That freedom is invaluable.

In mathematics especially, continuity and structure are essential. Pencil Spaces offers persistent whiteboards that retain every detail from one session to the next. I can return days or even weeks later and pick up exactly where we left off, with all content precisely intact. This enables a kind of cumulative learning that closely mirrors the experience of an in-person classroom.

Another remarkable feature is the support for real-time collaboration within embedded applications. I frequently use Desmos for graphing and other interactive tools that support deeper mathematical thinking. These applications do not sit outside the platform. They are embedded directly within the learning space. My students and I are able to interact with them live, together, in a way that feels completely natural and free from technical barriers.

The platform also includes Sparky, an intelligent AI assistant that assists with open-ended problem grading and student feedback. Sparky has become an indispensable part of my workflow. It provides instant evaluations, helps identify misconceptions and generates relevant follow-up material. It enhances the precision of my teaching and supports learners in a highly targeted way. It is a meaningful tool that extends the capabilities of the tutor rather than replacing them.

Pencil Spaces also meets the highest international standards for safeguarding and compliance. This is not treated as an afterthought. It is embedded in the platform’s foundations. As someone who works with younger learners and institutional partners, this level of rigour gives me complete peace of mind.

Perhaps most impressive is the team behind the product. It is rare to find a group of people so deeply committed to both education and technology. Every interaction I have had with them has been marked by seriousness of purpose, deep empathy for teachers and a desire to improve. The support they offer is truly outstanding. It is available at all hours, and every time I have needed assistance, I have received it promptly from someone knowledgeable and respectful. I have never once felt abandoned or frustrated. You are never left on your own.

The administrative features are equally strong. The platform includes everything I need to run a successful programme, whether I am working one-to-one or in groups. Scheduling, session recording, detailed transcripts, permission controls and data reporting are all built in and work effortlessly. There is no need to stitch together external systems.

Pencil Spaces has allowed me to return my full attention to the craft of teaching. It removes obstacles rather than introducing them. It reflects the highest standards of professionalism and purpose. It is, without question, the best platform I have ever used. I recommend it wholeheartedly to any educator who wishes to deliver outstanding instruction online.
