    The Amazing team

    Empty promises and tech that doesn't work...

    I have been with Vagaro since April 2022 and there have been bumps and bruises along the way that I have been able to work through and overlook. Since Oct 2025 however, there has been a major issue that has been affecting my business that remains unresolved and basically ignored.

    I run a dance fitness company that offers 2 classes per week. In October, we saw a sudden drop in registration of our mid week class. It was only after speaking with students and confirming with multiple people on various mobile phones, including those that had never installed it, that the class was not showing up.

    Reaching out to support, they insisted they could not duplicate it, and until I had the opportunity to have them see it on my phone in real time, I was not believed. I was also able to duplicate this issue on the website.

    According to support leadership, the programmers confirmed that the code was working as intended and that the next class would be suggested to the student. Apparently the programmers are allowed to choose when people want to exercise as this is how students can book.

    Thursday to Monday = Only Monday classes
    Tuesday & Wednesday = Only Wednesday classes

    Despite multiple emails in an open ticket with assurances that my concerns were being forwarded to the programming team and my request to be contacted by someone in the Accounts team, I am once again contacting them for yet another flaw.

    On a day someone should be able to book Monday June 29th, the website and app shows the next class as Wed July 8th. Two classes are not accessible for anyone to book.

    I pay full price for an app and the website so my students can book classes. I asked for someone to talk to me about the lack of value for what I am paying for in fair compensation.

    Now I am here, writing a review on Trustpilot to warn anyone in fitness not to choose this platform. In fact, I encourage everyone to read the 1 star reviews that talk about the issues with the app which is part of the subscription that we pay for.

    One last thing. I'm a tech by trade so I did my homework long before I reached out to them. I think they forgot that I was the one that reached out to them a month after I signed up when they were ignoring a sophisticated phishing email campaign trying to gather our login credentials at a newly registered domain. I worked directly with them and 2FA was immediately implemented. Maybe that was a forewarning I should never have overlooked.

    Brilliant service from Carl

    Carl has been amazing with helping me set up my online booking system! He has helped me from the first call all the way through. Has never just left me after the first phone call and said get on with it, he’s always been a message away and been happy to answer all my questions. I’m good with tech but not that good! He has shown me everything I’m able to do with my online booking and my marketing. Also helped me with how I can get my Instagram to business to create a book now button! I honestly cannot thank Carl or recommend him enough! Such an asset to the Vagaro team! Thank you so much Carl

    So I’ve moved from Fresha to Vagaro, Liam has been extremely helpful with the move and has pretty much held mine and my teams had all the way through. Estera built our website (which is included) and omg she’s nailed the brief!
    My only negative feedback about the move would be I don’t find the system as compatible with mobile phones as Fresha was, it’s also slower and not as smooth to use but we’re getting used to it

    Vagaro system loophole and flaw

    Vagaro system allowed my hair studio to cancel me the day of my appointment, then they immediately marked me as a no show, then when I tried to write a review it on Vagaro it said I couldn't because I was never their customer because they marked me as a NO SHOW knowing I was going to put my bad review! No wonder they have 5 stars on stupid Vagaro and don't list themselves on google. Vagaro lets them get away with this!!!

    loving Vagaro !

    As a business owner perspective, there is so much support for the business side! just to mention a few, how to set up or any issues- it's a fast response and finding solutions. I love all the features it really helps customers find your business and how customized you can really make it when it comes to your booking menu and love the daily deals they give you so many options.     I was scammed by vagaro

    I was told that my first trial month will be free. There was no one to assist me how to start the process. I was just checking and entered my credit card details and clicked on free where it was mentioned. I never received any email regarding my boarding. I checked my credit card details then I came to know that I was charged unnecessarily. I raised a question and I was given assurance that there was a glitch from vagaro's end and money will be refunded. I didn't receive the accessory also. I was not getting any replies from vagaro regarding my refund. I then uninstalled the app and exit from account then again $140 was deducted. It seems that I have been scammed. I never used the app and I was scammed for $210. This is ridiculous. I have been scammed by vagaro.

    Regarding the trial, our records show that the card reader offer was accepted during signup. As outlined in the enrollment terms, redeeming the card reader activates the account and ends the trial period. The promotional monthly rate referenced is a base subscription price and may vary depending on the number of calendars or services selected on the account.

    We recognize that this has not been the experience you expected when getting started, and we appreciate your patience while the review is completed. Our team will continue to provide updates directly through your existing support case as soon as additional information becomes available.

    Owen has been incredibly helpful throughout the whole setup process. He was always patient, professional, and very quick to respond whenever I had questions — even through WhatsApp. Communication was always easy and friendly, and he made the entire experience much less stressful. I truly appreciate all his help and support and would highly recommend Owen and the Vagaro UK team! 😊

    I had previously been very happy with Vagaro, but since the recent system updates around April 2026, we have experienced continuous issues that are seriously affecting our business operations.

    Problems include missing or incorrect paid amounts, paid packages not showing properly, IOUs/payment records failing to generate, reports not matching actual payments, and frequent system glitches.

    I have spent hours with customer support every few days over the last two months, yet the issues continue without a permanent resolution. Very disappointing for a business platform that we rely on daily.

    Horrid system and horrid customer…

    Horrid system and horrid customer service. Our vagaro has begun changing our clients appointment times and dates on its own, yet technical team says they can’t figure out why or know what’s happening. The system doesn’t follow our reminder rules and sends the out 20 minutes prior to the visit rather than two weeks and 48 hours. The tablet they created glitches non stop and the reports and inventory never match the app on any other device. Our password to get into our system changes on its own and they can’t seem to make it stop. The system literally sucks so bad and they keep coming out with new features instead of fixing these problems that legit make it impossible to use. We have had whole days of clients recently where none of there times were accurate because vagaro moved them by 45Min to over an hour. So our entire staff was screwed all day.

    Extremely disappointed with Vagaro and…

    Extremely disappointed with Vagaro and the lack of transparency when it comes to support, hardware compatibility, and system reliability.

    We invested in the PayPro & Go system based on the way it was marketed "a seamless front desk and mobile checkout solution designed to support and grow with our business." Unfortunately, that has not been our experience.

    After purchasing the hardware, we discovered the system is extremely limited and essentially locked down, preventing us from adding or integrating other front desk accessories and hardware the way their marketing and sales conversations suggested. What was presented as a flexible and scalable solution turned out to be far more restrictive in real-world use.

    To make matters worse, once the limitations became clear, we learned about the strict no-return policy, leaving us stuck with expensive hardware that does not meet the operational needs we were led to believe it would support.

    The reliability issues have been even more concerning. The system status logs often show the platform as “up” far more than it actually is in practice. When the system goes down, there is essentially zero offline functionality. Staff cannot reliably access calendars, view client notes, confirm appointments, or process payments. For businesses that depend on scheduling software to operate throughout the day, being completely locked out puts your front desk and client experience in the dark.

    As a multi-location salon business, outages like this don’t just create a minor inconvenience, it can completely derail operations across multiple teams and locations for an entire day. When your business relies on your software to access schedules, client information, and payments, there needs to be a dependable backup or offline mode in place.

    Support has also been frustrating vague responses, inconsistent information, and very little accountability when trying to resolve issues.

    We expected transparency, flexibility, and dependable support from a company positioning itself as an all-in-one business solution. Instead, this experience has felt misleading, restrictive, and incredibly disappointing.

    I usually do not leave negative reviews, but after working with Vagaro for three years, I feel I need to share my experience.

    Over the past year, things have become extremely frustrating, especially when it comes to payments. Several times, my payments were placed on hold without any clear explanation. I had to call customer service repeatedly, and unfortunately, the support was not helpful. Each person gave me a different answer, and after waiting days, my deposits were still short by thousands of dollars.

    I signed up for instant pay to avoid delays, but even then my account was placed on hold again, and I could not access my funds. When I called to get answers, I was placed on hold for hours, transferred around, disconnected, and still never received a clear explanation. One representative, Jonathan, was extremely rude and threatened to hang up on me while I was simply trying to understand where my missing money was.

    The biggest issue is the chargeback system. When clients dispute charges, Vagaro does not seem to properly investigate anything. Even when I provide strong evidence such as signed consent forms, driver’s licenses, appointment history, and video camera footage from my clinic, they still automatically give the money back to the customer. It feels like business owners are guilty no matter how much proof is submitted.

    What makes it worse is that they do not properly notify you during the process. You constantly have to monitor your phone, reports, and account yourself just to find out a chargeback was completed and money was removed from your account. No one reaches out to explain anything, and there is no real support for small businesses.

    I have personally lost over $10,000 in chargebacks despite having clear evidence proving services were performed. At times, it honestly feels like some customers know how easy it is to manipulate the system by receiving services and then filing chargebacks afterward.

    As a small business owner, this is devastating. Vagaro may seem affordable for booking services, but I would strongly recommend staying away from their payment processing system. Between held funds, missing payments, poor customer support, and chargeback handling that heavily favors customers without proper investigation, this platform has caused major financial stress for my business.

    Small business owners deserve protection too.
